A customer pays her instalment on a Saturday evening. Your staff write a slip, tear it off, and hand it over. By Monday the slip is in a handbag, a kitchen drawer, or the bin. Three months later she asks for her balance, and the only proof she holds is her memory. Yours is a line in a register she has never seen.
A digital receipt closes that gap. It is a numbered proof of payment sent to the customer's phone the moment the payment is recorded, carrying the same number as the line in your own record. What is a digital receipt for a jewellery customer?
A digital receipt is a record of one payment, sent to the customer's phone instead of, or as well as, a paper slip. For a gold saving scheme it shows who paid, how much, for which slot and which month, how the money was paid, and a receipt number that matches the line in your own record. It is proof of payment, and nothing more.
A scheme receipt proves that money was received. Whether your shop must also issue a tax invoice, and what it must show, is a question for your accountant. This guide is only about the proof of payment your customer keeps.
The receipt is the only piece of your record the customer ever holds. The register, the Excel sheet, the software, all stay behind your counter. The software does not run the scheme, trust does, and the receipt is the smallest unit of that trust. What should a good digital receipt show?
A good receipt shows ten lines: shop name and phone, receipt number, date and time, member number and name, scheme and slot, the month paid for, the amount, how it was paid, months paid so far, and who took the payment. Each line is there to answer one question that would otherwise become a phone call. The sheet below shows them with example values.
Three of these lines deserve a closer look, because a handwritten slip usually gets them wrong or leaves them out.
- Receipt number. This is the line that ties the customer's copy to yours. If her phone shows R-0231 and your record shows R-0231 against member M-014, slot 21, month 3, there is nothing to argue about. Names repeat. Numbers do not, as long as they never restart.
- Month paid for, separate from the date. Customers pay late, and some pay two months ahead. A receipt dated 1 April for month 3 is clear. A receipt that shows only the date makes the customer count on her fingers, and she will count differently from you.
- Months paid so far. This is the line almost every shop leaves out, and it is the one that stops the "what is my balance" call. A receipt that shows only the amount answers one question and leaves the next one open. A receipt that says "3 months paid" answers it early.
The "how paid" line should point at the proof behind the payment: cash, or UPI with the last digits of the reference, or card. When a month end does not add up, that line finds the payment in the bank statement.
How does a payment become a receipt on the customer's phone?
It takes six steps, in three places. At the counter, the customer pays and your staff confirm the money. In the record, the payment is entered and the receipt gets its number. On the phone, the receipt is sent and the customer checks it. The customer should still be standing at the counter when the sixth step happens.
- Pay. Cash across the counter, UPI on the shop's code, or a payment made from home in the app.
- Confirm the money. For cash, count the notes on the counter in front of the customer. For UPI, wait until the money shows in the shop's account, not on the customer's screen. A screenshot is not a confirmation. Our guide on matching UPI and cash payments at the counter covers this step.
- Enter it. Against the member number, the slot and the month, before the notes go into the box. A payment entered "later" is the missing proof from the top of this page. The counter rules in stopping cash mistakes at the jewellery counter exist for exactly this moment.
- Number it. The receipt number comes from the record, never from memory. In a receipt book, the next printed number. In software, the next number in sequence.
- Send it. Photo of the slip, a typed message, or an automatic receipt, from the shop's number, to the phone number on the member's record.
- Customer checks it. Ask her: "Did it come?" She sees the amount, the slot and the month, and nods. Any mistake is corrected in seconds, while everyone still remembers what happened.
Step six is the one nobody plans for. A customer who reads her receipt at the counter is checking your record for you, on the day it was written.
Which kinds of receipt reach the customer, and how fast?
There are six common ways to hand over a receipt, from a handwritten slip to a receipt inside your own app. The table compares how fast each reaches the customer, what she keeps, and where each one lets you down.

Paper reaches the customer at once, but she keeps a slip that fades or gets lost. The photo on WhatsApp and the typed message keep a copy on her phone, but only "when staff find a free moment", and on the day before a festival that moment does not come. The two automatic rows are the only ones where speed and copy both hold, each with one condition: the right phone number, or the app installed.
Starting today, without software
You do not need to buy anything to begin. Keep the numbered receipt book. Photograph the slip, or type a short message, and send it from the shop's WhatsApp number while the customer is at the counter. Keep one chat per customer, so that chat becomes her record. Three rules keep this honest: send from the shop's number, never a staff member's personal phone; read the receipt number off the book, never from memory; and send cash receipts with the same care as UPI ones, because cash is where the customer has no other proof.

A worked example: one payment, one receipt
All names, numbers and amounts here are examples. Customer A holds slot 21 in Kitty 1. Her instalment is ₹3,000 a month, as an example. On 1 April at 11:40 she pays month 3 by UPI on the shop's code.
- She pays ₹3,000 from her phone.
- Your staff member waits for the money to appear in the shop's UPI app, and notes the reference ending 4821.
- He enters the payment against M-014, slot 21, month 3.
- The receipt takes the next number in the book, R-0231.
- He sends the receipt to the number on her record. It shows the ten lines, including "UPI, ref ending 4821" and "3 months paid so far".
- He asks, "Did it come?" She reads it and says, "Yes, slot 21, month three." Done.
In July, at a wedding, her sister-in-law asks how her gold scheme is going. She opens the chat, scrolls to the last receipt, and reads "6 months paid so far". She did not call your shop, and she showed your shop's name to another household.
A receipt is one payment. The running total across all her slots is a different record, and a digital passbook that shows every instalment in one place is the tool for that, with the receipts sitting inside it.
How do you know your receipts are working?
No article can tell you how well your receipts work. Three checks, done once a month, will. Each takes less than an hour.
- The gap test. Pick ten receipt numbers at random from last month's book. Open the customer's chat for each and look for that number. Every number you cannot find on a phone is a payment where the customer has no proof. Note which staff member and which day of the week the gaps fall on.
- The balance count. For one week, keep a tally at the counter of every customer who asks "how many months have I paid?" Each mark is a receipt that did not do its job. If the tally is long, add "months paid so far" to your receipt before you change anything else.
- The closing match. The receipts written today should agree with the cash in the box and the money in the bank. The word for this checking is reconciliation, and if the word is new to you, payment reconciliation explained in plain words is the place to start.
Run the three checks before you buy anything. They tell you whether your problem is speed, completeness, or one person who forgets. Each has a different fix, and only the last one is really about software.

Mistakes jewellers make with digital receipts
- Sending before the money is confirmed. A receipt sent on the strength of a customer's screenshot is a promise you may have to break.
- Typing the amount by hand every time. A typed message is quick until a zero goes missing. Photograph the slip, or use a fixed format, and read every line back.
- Receipts only for UPI. Some shops message the digital payments and give a paper slip for cash, because "the bank has the UPI record anyway". It is the other way round. Cash is the payment with no other proof.
- Numbers that restart. A new book that starts at 1 again, or a second counter with the same numbers. Two customers now hold receipt R-0001. Number across books, counters and years.
- Editing a wrong receipt. Do not delete the message or scribble over the slip. Send a note that the receipt is cancelled, issue a new one with a new number, and write the cancellation against the old number in your record. The mistake and the fix both stay visible.
- An old phone number on record. Ask for the number at every joining, and check it when a receipt does not show a second tick.
What a digital receipt cannot do
A receipt proves the payment, not the promise. The benefit at the end, the grace period, what happens on a missed month, all of that lives in the written rules of your scheme. Keep the two apart and give every member the rules on the day she joins.
A receipt on WhatsApp depends on the phone number, and a chat can be deleted. Your copy in the record is the one that survives. A receipt inside a shop app solves this, because the history is stored with the member, not on one handset.

A receipt that ends with "your next payment is due" reads like a demand, and the customer stops opening them.
When do you not need software for receipts?
You do not need software when the scheme is small, one trained person takes every payment, the photo goes out before the customer leaves, and your gap test comes back clean. A receipt book, the shop's WhatsApp number and the six steps will carry you. Spend the money on gold instead.
Software starts to earn its place when one of these turns true:
- A second person, or a second counter, starts taking scheme payments.
- The gap test shows receipts missing on the same busy days each month.
- Members hold several slots, and a receipt per slot per month is too much to type.
- Customers pay from home, and nobody is at the counter to send anything.
- Customers ask for their balance more often, or question it.
What changes with software, and what does not
Software does not confirm cash. Counting the notes on the counter stays with your staff for as long as you take cash. What changes is everything after that. The payment is entered against the member and slot on the screen, the receipt number is given by the system in sequence with no gaps, and the receipt reaches the customer's phone in seconds. The "free moment" disappears from the table above.

What if the customer does not have a smartphone or the app?
Give her the paper slip and send the receipt to whichever phone she names, a family member's if she prefers, and write that number on her member card. How do I correct a wrong receipt that has already been sent?
